CloudTeams™: The AI-powered platform built for firms that sell expertise

Firms that sell expertise run on a patchwork of CRMs, spreadsheets and timesheet tools that never agree with each other. CloudTeams™ puts the deal, the people, the hours and the bill on one record. Here is what it is, how it is built and why Mach runs on it.

Summary

Key takeaways

  • CloudTeams™ is an AI-powered platform for firms that sell expertise. It brings selling, staffing and delivering the work onto one record, so the deal, the people, the hours and the bill always agree.
  • Staffing is native, not bolted on. Talent, open roles and placements sit beside the pipeline, with margin visible before you place anyone.
  • The AI is read-only by design. It answers questions across the record, and anything sent, booked or messaged needs a person to approve it.
  • Mach Advisory™ is Customer Zero. The platform is in early access, and Mach runs its own firm on it every day.

The problem: twelve tools, no shared record

A firm that sells expertise runs on a surprising number of tools. There is a CRM for the pipeline, a spreadsheet for the talent bench, another for open roles, a project tool for delivery, a timesheet app, an expense tool, an invoicing system and a way to pay contractors. Count them honestly and you reach about twelve, and none of them knows what is in the others.

  1. Deal
  2. Staff
  3. Deliver
  4. Invoice

The cost is not the licenses. It is the reconciliation. Margin is a guess until the first invoice goes out. The bench spreadsheet is stale by Friday. Paperwork gets missed. Someone chases timesheets every week, and billing and pay are rebuilt by hand. For a boutique firm, that overhead sits on the same few people who are supposed to be selling and delivering.

What CloudTeams™ is

CloudTeams™ is a platform that puts every job on one record. A deal turns into a project, the project draws on staffed people, those people log hours, the hours become an invoice, and contractor payouts follow, all on the same thread. The design goal was a calm, minimal product that feels like it belongs on a Mac, not a sprawling enterprise suite.

It is built for founders and operators of small and boutique consulting, engineering and go-to-market firms that sell projects and staff them with contractors. It is deliberately not trying to be everything to every company.

Sell, Staff and Deliver

Sell

Leads, contacts and companies feed a deal pipeline with quotes and line items, in flat-fee, time-and-materials or retainer form. Web forms and booking pages capture inbound interest and turn it into leads, and email goes out from each person’s own Gmail. Mach’s own “Book a call” page and contact form are served by this part of the platform.

Staff

This is where most general-purpose CRMs stop. CloudTeams™ carries a talent database, a pipeline, a bench view, open roles and placements. Every placement shows its margin, calculated one way across the whole product: bill rate minus pay rate, divided by bill rate. Paperwork requirements such as agreements and tax forms sit with the person, so a gap is visible before the work starts.

Deliver

Projects have a timeline and a board, timesheets go through approval, and expenses and invoices follow from the same record. Contractors get their own portal with a separate sign-in. They can see their own hours, expenses, invoices and payouts and nothing else.

AI that stays human-approved

Because everything lives on one record, AI can reason across selling, staffing and delivery at once. An assistant answers questions about deals, people and projects, summarizes activity, and suggests tasks. It is read-only, and it respects each person’s permissions, so it cannot show anyone more than they could already see.

The rule that matters for executives is simple: nothing is sent, booked or messaged until a person presses approve. Customers bring their own AI provider key, choose the model per feature, and can cap spend. Usage is logged by tokens and cost rather than by storing prompts.

How it is built and protected

CloudTeams™ runs entirely on Cloudflare Workers with a managed database, so there are no servers to run or patch. A few facts worth knowing at the executive level:

  • Access is checked on every request. Permissions are read from the database each time, so deactivating a person takes effect immediately. A test fails the build if any API route lacks an access rule.
  • Contractors are walled off. They can reach only their own portal, and every query there is limited to their own records.
  • Sign-in uses OAuth. No passwords are stored.
  • Recovery is built in. The database supports point-in-time recovery for 30 days on the current plan, any deploy can be rolled back with one command, and releases go through a gate of typechecks, tests and a build.

Why Mach is Customer Zero

Mach Advisory is a firm that sells expertise, which is exactly who CloudTeams™ is for. We run our own selling, staffing and delivery on it every day. That matters for two reasons. It means the platform is shaped by real work rather than a feature wish list, and it means the “one team, one workspace, one outcome” promise in the Mach One™ model rests on a system we depend on ourselves. You can read the model on Why Mach or in our note on the Mach One™ model.

Where it stands today

Precision matters here. CloudTeams™ is in early access. Mach Advisory is currently its only workspace, contractor payouts through Stripe are in test mode, and multi-customer tenancy is the next major piece of work rather than something shipped. The first working version was built in four days, from September 29 to October 2, 2026, and the repository already carries more than 200 automated test files. If you run a boutique firm and want to see it, the best next step is to talk to us.

Frequently asked questions

Who is CloudTeams™ for?

Founders and operators of small and boutique consulting, engineering and go-to-market firms that sell projects and staff them with contractors. It is intentionally not a platform for every kind of company.

Does the AI send emails or book meetings on its own?

No. The assistant is read-only, and anything that sends an email, books a meeting or posts a message needs a person to approve it first.

Can customers use their own AI provider?

Yes. Customers bring their own Anthropic or OpenAI key, choose the model per feature and can set a monthly spend cap.

Is CloudTeams™ generally available?

Not yet. It is in early access, with Mach Advisory as its first and only workspace today. Tell us what you need and we will share what is ready.

Do I need CloudTeams™ to work with Mach Advisory?

No. Mach runs on it, but you do not need to adopt any software to work with us.
